Analytics functions

Language selector & Highlight option

The analytics functions need to be told what language rules to apply. Supported languages are English, German and Dutch (and any combination thereof). Use the dropdown to select the language.

Mark any piece of text found in the document with a yellow highlight. This supports more focused reading and hence correcting the text.

Performing Analytics & working with the results

Functions in EasyTools are executed as interruptible tasks meaning you can view progress and interrupt/cancel it.

It looks like this:

  • Progress is shown. During operation, the document cannot be edited. Stop the operation by clicking the red cross.
  • Results are displayed in a Task Pane (default on the right hand side. You can move them about)
  • Once finished, you can click on any result and it shows the place in the document. Click again for the next etc.
  • The results can be copied to Excel for tracking and reporting purposes.
  • For selected functions, the results in the Task Pane provide a context menu to do specific actions.

Example

Acronyms

All acronyms and their count of definitions (should be 1) – can be used to build a list of acronyms for your document.

Capitalized

All fully capitalized words – often these have a special meaning. Collecting these allows you to verify meaning and consistent application.

Dates/Times

Any word that reflects a date, a time or a duration or any indication of time – useful to find plannings and obligations.

Definitions

Find contractual definitions (double quoted words). These can be applied to other documents to check consistent application of definitions. Note there is also a context menu to quickly check if a definition exists – without having to scroll away from the current reading position. Especially in hard to read contractual documents, this saves a bit of time every time you need to check the meaning of a definition.

References

Find references to elements within the document or to other documents – useful to validate these references.

Hyphens

Find words that use hyphens and then check if the same words exist without hyphens. Inconsistent combinations can be fixed with a single right mouse click in the context menu (Task Pane window).

Money

Find words that express a monetary value – useful to check that values are consistently used.

Passive language

Find words that indicate passive language. Passive language is less convincing/less easy to understand that active language. Use this function to drive the writers to improve their texts.

Warranties

Fin words that express a need, a right, an obligation, a requirement or a wish. Use this function to find these in the document for processing. Use the highlighter option to preprocess the text before it is read by a reviewer.

Wordiness

Detect text that is wordy, i.e. using too much words, and suggest shorter alternatives. Less and more pointy text is easier to understand. Alternatives are provided in the results window.

Cloud

A picture says more than a 1,000 words. Generate a word cloud without having to send your text to the internet. This is especially useful in corporate environments.

Personal list

Define and search a custom list of words and provide alternative wording. This essentially is a smart search and replace and can be used to check and apply consistent terminology in your document. In the Word editor window a context menu option is available to quickly add a text to the Person list.

The first word is the preferred spelling, the 2nd, 3rd etc. are possible alternatives. EasyTools will search them all.

The results shows all found variations (black = preferred, red = alternatives).

A context menu is available to quickly replace found alternatives with the preferred spelling.

To do list

Find any piece of text that implies that there is something left to do, e.g. ‘xxx’, ‘<...>‘, ‘[…]’ and any highlighted text.

The highlight color of highlighted text is included in the results window.

File scan

Find all Office and zip files in a folder (optionally recursive) and report size, mark ups and embedded documents. This function makes it easy to check if documents are final and to detect ‘hidden’ files. It also helps to assess the workload by providing the page count across many files in a folder and sub folders.

Files shown in the results window can be opened by double clicking.

Error viewer

Highlight warnings or errors that have occurred.
